Technology Innovation Institute - Sole Proprietorship L.L.C. (“we”, “us”, or “our”) is committed to protecting and respecting your privacy. This privacy policy (“Privacy Policy”) sets out how we may collect, use, share or otherwise process data which identifies you or is associated with you (“personal data”).

The aim of this Privacy Policy is to provide you with information about how we collect and process your personal data as a result of your participation in the SIGIR 2025 Live-RAG Challenge (“Challenge”). This Privacy Policy should be read in conjunction with the Challenge Terms and Conditions.

How we collect your personal data:

We may collect your personal data either directly from you or from certain third parties who collect your personal data on our behalf for the purposes of administering the Challenge.

We may collect and process personal data you provide directly to us in the following situations:

  • when you communicate with us, such as by making enquiries or reaching out to us via email, our social media channels, our official website (at https://www.tii.ae/), or any of our websites related to operating the Challenge (as may be communicated from time to time);
  • when you interact with the Challenge via our systems (for example, if you opt to use the DataMorganaTM service for training and testing purposes as part of the Challenge);
  • when you access our media content, advertisements and publications; or
  • when you sign up to our newsletter.

The registration process for the Challenge is operated by a third-party platform (“EasyChair”), which collects your personal data as part of your application and provides us with access to it solely for the purposes of evaluating participants’ eligibility and administering the Challenge. Please note that EasyChair is an independent data controller for the data it collects, and its privacy policy governs its own processing activities. When we access any of your personal data, we will ensure that it will be processed exclusively by the Challenge organization team and the program committee members, as listed on Challenge website at https://liverag.tii.ae, and in accordance with this Privacy Policy.

What information we collect:

If you share your personal data directly with us, we may process details such as your name, phone number, email address, gender, or any other information provided by you to us. We will not request or otherwise collect or process any sensitive personal data about you. In the interest of protecting your privacy, please refrain from sharing any sensitive personal data with us.

Where personal data is provided by you to EasyChair as part of the sign-up process for the Challenge, EasyChair will share the following information with the Organizer:

  • personal information, including name, email address, affiliation with the applicable university or industry body;
  • biographical information, including role and relevant publications; and
  • application files, including a one-page description of the proposed solution.

Additionally, whenever you visit our website, we may collect information that your browser sends to us (“Log Data”). This Log Data may include information such as your device’s IP address, browser version, website pages you visit, the time and date of your visit, the time spent on those pages, and other statistics.

We may also collect and use aggregated data such as statistical or demographic data (which can be derived from your personal data) for any purpose. However, the aggregated data that could be derived from your personal data will not directly or indirectly reveal your identity.

How we use your personal data:

We may use your personal data for any of the following purposes:

  • to respond to any questions or concerns you may have regarding us or the Challenge;
  • to inform you about our technology-related content, publications, events, and media relevant to your interests;
  • to personalize and improve your experience on our website;
  • to provide you with our marketing and advertising material, in compliance with applicable laws and where you have not opted out of such communications;
  • to comply with applicable laws and regulations, court orders, government and law enforcement agencies' requests; and
  • for our legitimate business purposes.

In relation to the Challenge, we may also use your personal data collected by EasyChair for the following purposes:

  • to review applications and determine eligibility for the Challenge;
  • to contact participants with relevant updates or decisions regarding the Challenge; or
  • to review submission and results produced during the Challenge.

We will not use your personal data for any purposes beyond those outlined in this Privacy Policy above, unless it is required to do so by law.

Data sharing

We do not share any of your personal data with third parties, except when required to do so by law or as may otherwise be required for our legitimate business purposes. We will always use your personal data in compliance with applicable laws and regulations.

Retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect of our relationship with you.

In some circumstances we will anonymize your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

Your rights

You have a number of rights in relation to your personal data, including the right to: (i) request access to your personal data; (ii) request correction of the personal data we hold about you; (iii) request the erasure of your personal data in certain circumstances; (iv) request that we restrict the processing of your personal data (in limited circumstance); (v) receive personal data concerning you in a machine-readable format; (vi) object to the processing of your personal data (in limited circumstance), including profiling.

Such individuals will only process your personal data on our instructions, and we will ensure that they are subject to a strict duty of confidentiality.
